Before your meeting
Enable Smart Recording
- Log in to the CSS Zoom web portal.
- Note: In order to customize the settings for meeting summaries you need to be logged in to your CSS Zoom account in the web browser/web version vs. the Desktop App.
- Go to Settings.
- Click the AI Companion tab.
- Toggle AI Companion panel in Zoom Workplace on.
- Under Recording, toggle Smart recording with AI Companion on.
- Note: You must enable smart recording prior to your meeting; you cannot enable it during a Zoom meeting.
Customize Your Settings: Choose what you would like created with each smart recording. You must choose at least one of these options to use the smart recording feature in Zoom. If you don’t, smart recording will be disabled.
- Recording highlights: Zoom will automatically highlight the most important parts of the recording. After the recording is processed, you can adjust the video highlights identified and share or view a shorter video summary with only highlights.
- Summary and smart chapters: Zoom will group parts of the recording into sections with a short overview. You can edit the chapters and the chapter summaries.
- Next steps: Zoom will list any action items discussed in the meeting. You can edit these.
- Meeting coach: Check this if you are interested in feedback from Zoom around presentation and conversation metrics. Zoom can provide feedback to you as the host on your talk speed, talk-listen ratio, longest spiel (or monologue), filler word use (like um, ah, etc.) and wait time.
Note: If the toggle is grayed out, it means those settings are locked for the college.
During the Meeting
- Start your Zoom meeting.
- Click the Record button in the meeting controls.
- Select Record to the Cloud to start a Smart Recording.
- Note: You must record to the cloud to use the Smart Recording features.
- To pause or stop the recording, click the Pause Recording button and select the appropriate option or using the following keyboard shortcuts.
- Alt + P: Pause/resume recording *use to pause and restart during the recording
- Alt + C: Start/stop cloud recording *use at the start and end of your recording
- Once the meeting is over, the Smart Recording will be processed automatically.
After the Meeting
Find & Edit a Recording
- After processing, you'll receive an email with a link to the recording.
- Alternatively, Log in to the CSS Zoom web portal and go to Recordings & Transcripts to access and manage your recordings. You can view the recording with the AI-generated features you choose, such as highlights, summary, and smart chapters, and manually adjust them as needed.

Share a Recording
- Click the thumbnail of the recording to open it.
- Click the Share arrow
- Adjust the sharing settings.
- Only people with access: You must give permission in the box at the top by typing email/s.
- Anyone in signed in users in my account: This setting restricts access to verified members of our CSS email group and helps prevent external guests from joining.
- Anyone with the link: Just what it means
- Click Copy link and passcode to share.
