Enable or Disable for Your Own Use
- Log in to the CSS Zoom web portal.
- Note: In order to customize the settings for meetings summaries you need to be logged in to your CSS Zoom account in the web browser/web version vs. the Desktop App.
- Go to Settings.
- Click the AI Companion tab.
- Toggle AI Companion panel in Zoom Workplace on or off.
- Under Meeting, toggle Meeting summary with AI Companion on or off.
Customize Your Settings
If the toggle is greyed out, it means those settings are locked for the college.
After enabling AI Companion, you can adjust these options:
- Automatically turn on summary: Enable this to start summaries automatically for all your meetings. When this is on, the summary will begin even if you aren't present in your meeting yet.
- Automatically share summary with: Select who automatically receives the meeting summary. Options include:
- Only me (host) *This is recommended because you can review and edit summaries before sharing out!
- Meeting summaries will be emailed to you.
- Meeting Summary Templates:
- You can choose a template for the summary to be produced in. Click on the pencil icon to view the template choices. There are templates for lectures, one-on-one meetings, and project updates.
- Remind me to turn on AI Companion when I'm hosting a meeting: Turn on a reminder to be prompted to enable AI Companion at the start of a meeting if you don't have the auto-start setting on.
- Content source: Improve summary accuracy by allowing AI Companion to use content from:
- Screen share content with OCR (extracts text from what's being shared).
- In-meeting chat messages (excludes direct messages).
Tips for Storing Meeting Summaries in a Gmail Folder/Label
First, create a folder/label.
- Open your CSS Gmail.
- Scroll down on the left sidebar until you see “More.” Click More → Create new label.
- Name your label. For example: Zoom AI Meeting Summaries. Then, click Create.
Automatically Move Summaries to the Gmail Folder
- In Gmail, click the show search options icon
- In the “From” field, enter the sender (e.g., no-reply@zoom.us or Zoom <no-reply@zoom.us>).
- Click Create filter.
- Choose “Apply the label” → Zoom AI Meeting Summaries.
- (Optional) Also check “Skip the Inbox (Archive it)” if you would like them to only go into that folder.
- Click Create filter.
