Flextime Policy

The purpose of the Flextime Policy is to provide options, within a standardized framework, for individualized work week schedules without changing the total number of hours to be worked. This policy allows flexible work schedules for individual staff employees when, in the opinion of the supervisor it can be done without compromising the department's efficiency and effectiveness, will not negatively impact others in the department and will result in no additional costs. It is understood that flextime is not possible for all positions and all departments equally.

Requirements

  • Offices must be open and staffed between the normal business hours of 8:00 a.m. and 4:30 p.m., Monday - Friday, at the minimum.
  • Customer needs must be recognized and met.
  • It is the supervisor's responsibility to ensure that adequate staffing is available during normal business hours.
  • Supervisors must consider scheduled vacations when approving flextime schedules.
  • Flex schedules cannot be approved if the result is inadequate coverage for offices.
  • One person's flex schedule cannot negatively impact others in the department.
  • Flex schedules cannot cause overtime to occur for the person on the flex schedule or for others in the department (other than overtime which would normally occur).
  • Hourly employees must show hours as actually worked per day on submitted timesheets. Supervisors are responsible for verifying and approving timesheets.

Holiday Pay

Holidays will be paid at eight (8) hours for full-time employees and on a pro-rated basis for part-time employees. An employee working a flexible schedule may be required to work additional hours during a workweek in which a holiday occurs or take equivalent accrued vacation leave to equal a full 40-hour workweek.

If the holiday falls on the employee's regular day off on the flexible work schedule, the workweek must be adjusted to allow the employee an equal amount of time off (8 hours).

Emergency Closing

Emergency Closings are considered to be an unexpected occurrence; and, therefore, no change will be made to pre-approved work schedules. Thus, if the College closes for a full or partial day on the regular day off for someone working a flexible work schedule, no special accommodations or payments are made.

Approval Procedure

All approvals for flextime must be obtained in advance of starting such a schedule. When an employee desires a flextime schedule, the employee should discuss these needs with his/her supervisor. The agreed upon work schedule must be documented by the supervisor. Permission to change working hours is a special arrangement and privilege and should not be considered a right. It is granted only when the supervisor believes that the requested change will not interfere with the efficient operation of the department.

Any approved flexible work schedule may be discontinued or altered by the supervisor for the area, if work needs so dictate.
