Access to Personnel Records

The College of St. Scholastica maintains a personnel file on each employee. The personnel file may include such information as the employee's job application, resume, records of training, documentation of performance appraisals, wage adjustments, and other employment records.

Personnel files are the property of The College of St. Scholastica, and access to the information they contain is restricted. In accordance with Minnesota law, employees who wish to review their own file may do so under the following conditions:

  • The request is made in writing. Human Resources or Academic Affairs will make the personnel file available within seven work days of receipt of request.
  • No more than one request is made in any six month period.
  • The review of the record takes place in the Human Resources or Academic Affairs office in the presence of a Human Resources or Academic Affairs representative or designee.

Employees who wish to obtain a copy of their personnel file must make a separate written request for a copy.

Employees who leave the College may request (in writing) a review of their personnel record once each year after separation for as long as the personnel record is maintained. Separated employees who wish to have a copy of their personnel files must make a written request for a copy.

Employees who disagree with any information in their personnel records may request to remove or correct the information. If the College and employee cannot agree how to handle disputed information, the employee may submit a written explanation of up to five pages for retention in the file.

The College will take no retaliatory action against employees for asserting their rights under the Minnesota Personnel Records Statute.
