I. Purpose

This policy establishes requirements and procedures for maintaining email accounts provided to Faculty Emeriti at The College of St. Scholastica, ensuring proper use, security, and access. This policy applies to all Faculty Emeriti of The College of St. Scholastica for whom the College has granted an email account.

II. Definitions

 Faculty Emeritus/Faculty Emeriti: Individuals whom The College of St. Scholastica has granted the Faculty Emeritus title.
Authentication Session: A session initiated by logging into email.css.edu with a web browser.

III. Policy

Faculty Emeriti are permitted to maintain an email account provided by the College as long as they adhere to its Email Policy. The Email Policy mandates users to update their passwords at least once every six months by initiating a fresh Authentication Session. The mere continuation of a session via a mobile application does not satisfy this requirement.

● Account Deactivation: Accounts not logged in for six months will be deactivated. To reactivate such accounts, Emeriti must contact Human Resources.
● Account Deletion: Deactivated accounts will be permanently deleted after an additional six months of inactivity and cannot be restored. No additional notice will be provided prior to the deletion of the inactive account.
● New Account Creation: If an Emeritus enrolls in any program or is re-hired, a new, empty account will be created for the Faculty Emeritus.

IV. Individuals and entities affected by this policy

Faculty Emeriti: Responsible for abiding by the College’s Email Policy and updating their passwords every six months.
● Human Resources: Responsible for verifying the identity of the Emeritus wishing to access a locked account.
Information Technologies: Responsible for unlocking the account upon approval from Human Resources and creating a new, empty account as needed.
